Extend Lease Request Approve/Decline

Login As Property Manager

  1. Open your web browser and go to the Rentilium login page.
  2. Enter your Username and Password in the respective fields.
  3. Click on the Login button to access your Property Manager dashboard.
  4. Upon successful login, the system redirects you to the dashboard, where you can view key leasing and financial data.

Operations Section

  1. Move to the left-side Side-Bar menu on the dashboard.
  2. Click on Operations to expand the menu.
  3. Under Operations, select Extend Lease from the available options.
  4. The system redirects you to the Extend Lease Request page, displaying all pending lease extension requests.

Extend Lease Request Page

  • The Extend Lease Request page presents a table listing all tenant requests for lease extensions.
  • The table contains the following columns:
    1. Unit Name: Identifies the rental unit.
    2. Tenant Name: Displays the tenant requesting the lease extension.
    3. Lease Start Date: The original lease commencement date.
    4. Lease End Date: The current lease expiration date.
    5. Extended Lease Date: The proposed new lease end date after extension.
    6. Current Rent: Displays the existing rental amount.
    7. Lease Status: Indicates whether the lease is active or inactive.
    8. Status: Shows whether the extension request is Pending, Approved, or Rejected.
    9. Actions: Provides buttons to approve or reject requests.
  • Locate the lease request that requires approval.

Review The Lease Extension Request

  • Click on the Approve/Reject button under the Actions column next to the relevant lease request.
  • A modal window (pop-up) appears, displaying additional details related to the lease extension.
  • Carefully review the following details:
    1. Unit Name
    2. Tenant Name
    3. Original Lease Start and End Dates
    4. Proposed Extended Lease Date
    5. Current Rent Amount
    6. Lease Status (Active/Pending/Expired)

Enter Rent Increment Percentage (If Applicable)

If the lease extension includes a rent increase, enter the percentage in the Rent Increment Percentage field.

The system will automatically calculate the new rent amount based on the percentage provided.

Example:

  1. Current Rent: ₹42,000
  2. Rent Increment Percentage: 2%
  3. New Rent after increment: ₹42,840
  4. If no increment is required, leave the field blank or enter 0%.

Add Comments (Mandatory)

  1. Enter a comment in the provided text box.
  2. The comment should clearly explain the decision regarding the lease extension.

Example Comment (For Approval)

"Lease extended successfully with a 2% rent increment. Please check the updated rent amount."

Example Comment (For Rejection)

"Lease extension request cannot be approved due to outstanding dues."

The system does not allow blank comments, so entering a message is mandatory.

Approve Or Reject The Lease Extension

Approve Request

  1. Click the Approve button.
  2. The system will update the lease details and reflect the new lease period.
  3. The request status will change from Pending to Approved.

Reject Request

  1. Click the Reject button.
  2. Provide a valid reason for rejection in the comment box.
  3. The lease will not be extended, and the request will be marked as Rejected.

Receive Success Confirmation

  1. Once the approval is processed, a success message will appear on the screen.
  2. The message confirms that the lease extension has been successfully processed.
  3. Click on OK to return to the Extend Lease Request page.

Verify The Lease Status Update

  1. Move to Leasing > Rental Units from the left menu.
  2. Search for tenant’s rental unit in the list.
  3. Verify that the lease end date has been updated to reflect the new extended period.
  4. If a rent increment was applied, confirm that the new rent amount is correctly displayed.

Notification To Tenant

  1. If necessary, inform the tenant that their lease extension request has been approved.
  2. The tenant will also receive an automated notification regarding the status update.
