Whether a tenant is relocating, completing their lease, or transitioning to another rental unit, the move-out feature allows property managers to handle the process efficiently while making sure all the necessary steps are followed. This includes updating the tenant's status in the system, providing accurate move-out details, and securely uploading required documentation. Here's a guide on step-by-step explanation to help property managers process tenant move-outs.

Move To The Leasing Section

  • Begin by Login.
  • Move to the Leasing module from the left-side panel.
  • Within the Leasing section, select the Lease Details tab.

Here, you will find two sub-tabs:

  • Leased Rental Unit: Displays a list of currently leased units.
  • Unleased Rental Unit: Shows vacant rental units.

Select Rental Unit

  • In the Leased Rental Unit tab, locate the specific rental unit for which the tenant is moving out.
  • Review the displayed information, including:
    • Rental Unit Name: Identifies the unit within the property.
    • Tenant Name: Displays the tenant's name.
    • Current Rent: This shows the rent amount for the unit.
    • Lease Start and End Dates: Highlights the lease period.
    • Remaining Days: Shows how many days are left in the lease.
  • Find the unit you want to process and click the Move-Out button in the Actions column.

Move-Out Process

Once the Move Out button is clicked, a move-out form will appear. This form collects all necessary details to complete the process.

  1. Unit Name:
    • Automatically populated with the rental unit name.
  2. Property Name:
    • Displays the name of the property where the rental unit is located.
  3. Tenant Name:
    • Pre-filled with the tenant's registered name for that unit.
  4. Notice Start Date:
    • Enter the date when the move-out notice is issued to the tenant.
  5. Move-Out Date:
    • Specify the actual move-out date. This date marks the termination of the lease for the tenant.
  6. Move-Out Document:
    • Upload a move-out document, such as:
      • Termination notice
      • Final agreement letter
      • Handover form
    • Accepted file formats: PDF and image files.
    • File size limit: 20 MB.

Uploading the Move-Out Document

  • Use the Choose File button to upload the move-out document.
  • Ensure that the uploaded file meets the following criteria:
    • File format: PDF or image (e.g., JPEG, PNG).
    • File size: Must not exceed 20 MB.
  • If the file upload fails due to size or format issues, recheck the file and reattempt.

Reviewing Information

  • Double-check all entered details to ensure their accuracy:
    • Confirm that the Notice Start Date and Move-Out Date align with the lease agreement terms.
    • Verify that the uploaded document is correct and legible.
  • If any changes are required, make the corrections before proceeding.

Submitting Move-Out Request

  • After reviewing the details, click the Move Out button to finalize the process.
  • The system will:
    • Update the tenant's status to "Moved Out."
    • Mark the rental unit as available in the Unleased Rental Unit tab.
